Health and Safety policy
Health and Safety Policy for Man and a Van Ruislip
Man and a Van Ruislip is committed to maintaining a safe and healthy working environment for all employees, customers, visitors and members of the public who may be affected by our removals and transport activities. This Health and Safety Policy sets out our approach to managing risks associated with moving, handling, loading, unloading and transporting goods for domestic and commercial customers.
Policy Statement and Objectives
Our objective is to prevent injury, ill health, damage to property and disruption to our customers by identifying and controlling hazards associated with our work. Health and safety is an integral part of how we plan and deliver our removal services. We aim to continually improve our practices, learning from experience and industry guidance relevant to the removals sector.
This policy applies to all staff, whether permanent, temporary or subcontracted, and to any person working under the direction of Man and a Van Ruislip while engaged in moving or transport operations.
Management Responsibilities
Management at Man and a Van Ruislip accepts overall responsibility for health and safety and will provide the leadership, resources and support needed to implement this policy. Management duties include:
Ensuring that all work is planned and carried out in a manner that minimises risks to people and property.
Providing appropriate training, information and supervision to employees so they can carry out their tasks safely and competently.
Maintaining vehicles, equipment and work equipment in a safe, roadworthy and serviceable condition.
Conducting and reviewing risk assessments covering manual handling, vehicle movements, loading and unloading, access to premises and use of equipment.
Investigating accidents, incidents and near misses, and taking reasonable steps to prevent recurrence.
Employee Responsibilities
All employees of Man and a Van Ruislip have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. Employees are required to:
Follow all safety instructions, safe systems of work and training provided.
Use vehicles, equipment, tools and personal protective equipment only for their intended purpose and in accordance with training.
Cooperate with management on all health and safety matters, including attending training, briefings and toolbox talks.
Report hazards, unsafe conditions, damaged equipment, accidents and near misses as soon as possible.
Refrain from any behaviour that could endanger themselves, colleagues, customers or the public.
Risk Assessment and Safe Working Practices
Before starting removal work, suitable and proportionate risk assessments are carried out to identify significant hazards and agree safe working methods. These include consideration of access routes, stairways, parking positions for the van, lifting and carrying distances, weight and shape of items, and any fragile or high value goods.
Where risks cannot be eliminated, they are reduced so far as is reasonably practicable through planning, use of appropriate equipment and safe systems of work. Employees are briefed on relevant hazards and control measures, including any specific customer requirements or restrictions at the collection and delivery locations.
Manual Handling and Use of Equipment
Manual handling and lifting is a central part of removal work and is managed carefully to reduce the risk of injury. Our approach includes:
Providing training in correct lifting and carrying techniques and in the use of trolleys, dollies and other aids.
Encouraging team lifting for heavy or bulky items and avoiding lone handling of loads that present a risk.
Using appropriate equipment such as sack trucks, removal straps and ramps where necessary and feasible.
Planning loading and unloading to minimise unnecessary handling and awkward movements.
Vehicle Safety and Driving Standards
Man and a Van Ruislip recognises the importance of safe driving and vehicle management in protecting staff, customers and other road users. Our standards include:
Ensuring drivers are competent, hold the appropriate driving licence and are familiar with the specific vehicle they are using.
Carrying out regular checks and maintenance on vans to ensure they remain roadworthy and suitable for use.
Making sure loads are properly distributed and secured to prevent movement during transit.
Planning journeys to allow sufficient time, taking into account traffic conditions and access constraints at addresses.
Customer Premises and Public Safety
We aim to carry out removals with minimal disruption and risk within customer premises and in shared areas such as pavements, communal hallways and car parks. Measures include:
Assessing access routes for trip hazards, obstructions and other risks before work begins.
Positioning vehicles and loading areas to reduce the likelihood of accidents involving pedestrians or other vehicles.
Using safe lifting routes to avoid damage to property and unnecessary risk to people.
Maintaining clear communication with customers regarding timings, access and any limitations identified during the risk assessment.
Training, Supervision and Competence
Man and a Van Ruislip provides appropriate health and safety training relevant to the duties of each role. New staff receive an induction covering core safety procedures, including manual handling, vehicle safety, incident reporting and customer care. Ongoing refresher training is arranged where needed, and supervisors monitor working practices on site to ensure procedures are followed.
Accident, Incident and Near Miss Reporting
All accidents, incidents and near misses are reported to management as soon as possible. Details are recorded, investigated and reviewed so that lessons can be learned and improvements made. Where required, incidents will be reported to relevant bodies in line with applicable health and safety legislation.
Monitoring, Review and Policy Availability
This Health and Safety Policy is reviewed regularly and when changes occur in the nature of our work, relevant legislation or industry guidance. The policy is made available to employees and customers on request, and forms part of our commitment to delivering safe, reliable removal services across our service area.
By implementing this policy and working together, Man and a Van Ruislip seeks to protect the wellbeing of our staff, our customers and the communities in which we operate.
